How to Enforce Your Contract and Policies

Do you find it difficult to enforce your contract and policies? You are not alone.

When a family child care provider starts to feel frustration and anger towards a parent, some providers prefer not to deal with the conflict at all and simply hope that it will go away. That’s obviously not a solution.

Because you created your contract and policies it is up to you to enforce them.  Otherwise, they won’t mean anything. You should look closely at each section of your contract and policies. If you aren’t willing to terminate a parent who refuses to follow one of your rules, take it out. It’s not a rule; it’s a guideline that you won’t enforce.

You must start by taking your contract and policies seriously. Tell parents that you will expect them to follow your rules.  It’s recommended that you get into the habit of bringing up all violations of your rules to show parents that you mean business.

You can listen sympathetically to a parent’s concerns, but you should also make it clear what they can expect if they don’t follow your rules.

To enforce the rules of your program there must be a consequence to the parent who doesn’t follow them.

The most common consequence is to charge the parent more, and the ultimate consequence is to end your contract with the parent. It’s as simple as that.

So, if a parent is late to pick up their child, you can charge a late pick-up fee, or after warning the parent and giving them several chances to change their behavior, you can terminate your agreement.

You can have different consequences for different parents. If your contract says parents must pay $1 a minute for late pick up, and one parent is regularly late, you can double her fee to $2 a minute.

To give yourself maximum flexibility in enforcing your contract, write in your contract, “Provider may terminate at will.” This allows you to end your agreement immediately, if necessary to protect your business.

Providers sometimes worry that if they enforce their contract the parent will leave their program. This can happen. But, it’s extremely rare. If you are doing a good job of communicating with parents and offer a high-quality program, you need not worry about what will happen when you enforce your rules.

Providers who consistently enforce their rules are less likely to have to deal with parents who will try to violate them. You don’t have to raise your voice or shame a parent to enforce your rules. Simply refer to your contract and policies to make your point.

If you need help enforcing your rules, ask another provider for advice. Put what you want to say to a parent in writing. You can do it!

Celebrating Grandparents

The role of “grandparent” isn’t the same for every family. Some grandparents are able to watch their grandchildren during the day while parents are at work, other grandparents visit as much as they can, while other grandparents may not be as near as they like but find opportunities to stay in touch and create a special bond with their grandchildren. No matter how grandparents stay active in their grandchildren’s lives, the relationship they have is special.

Research shows that there are many benefits of children having a healthy relationship with their grandparents. These benefits include:

1. Another family member who can provide companionship
2. Someone they feel unconditional love for and from
3. Another person who they feel they can trust and go to for advice
4. Someone to help experience family traditions with
5. A role model who can help find resolutions to their problems

The benefits of having grandparents active in their grandchildren’s lives doesn’t just benefit the children, it also benefits the families. As mentioned before, some grandparents have the opportunity to watch their grandchildren while the parents work, helping families save money on childcare. Grandparents also are a great resource for parents (especially first-time parents) who are looking for advice during different stages and milestones in a child’s life.

With Grandparent’s Day just around the corner, it is the perfect opportunity to show the grandparents in your life how much you appreciate them and your special relationship. Here are a few fun ways to celebrate them:

• Create homemade gifts: Break out the arts and crafts box! We love the idea of creating special homemade gifts for grandparents. Not only are there endless ideas you can come up with, most of the time the creation your child comes up with is adorable or hilarious and make a great keepsake to look back on years later. One gift idea that can be very special for grandparents would be to have your children decorate an apron, oven mitts, planter or cookie jar. This is something that they will use all the time or display somewhere special.
• Go on an adventure: If your family has a favorite park, zoo or town to visit, plan a day or long weekend and think about keeping up the tradition every year. If your family enjoys visiting new places, think of a fun place each year that the family has been wanting to go to but never seem to have the time. Enjoy visiting your favorite spots or exploring new places and having fun together as family.
• Enjoy a meal together: Head out their favorite restaurant and enjoy a meal together as a family. If they typically prefer to stay in, invite the family over to celebrate all the grandparents together or keep it more intimate with just your immediate family. Sometimes a homemade meal that was created with love is better than any dish you may have at a restaurant – especially when it gets the whole family involved. Give your children age appropriate tasks and create a special meal for them together.

Estimated Taxes Due September 17th

September 17th is the deadline for family child care providers to file your federal estimated tax payment for the third quarter of 2018.

The third quarter includes the months of June, July and August.

The fourth quarter includes the months of September, October, November and December.

Yes, the tax quarters for estimated taxes are not equal!

Most child care providers do not need to file estimated taxes (IRS Form 1040 ES Estimated Tax for Individuals). This is because their spouse usually has enough withheld in taxes to cover them.

You are most likely need to file estimated taxes if you are single or you have a spouse who is unemployed or self-employed.

If you are not sure if you or your spouse has paid in enough taxes for the months of June, July and August, you should make a tax payment with this form. You goal is to have paid in at least 90% of the taxes you owe for this quarter to avoid paying a penalty. If you pay in too much you will get a refund.

How do you know how much you will owe in taxes? If you were in business in 2017 use last year as a guide. If this is your first year, use 20% of your gross income (parents fees plus Food Program income) for June, July and August as a conservative guess of how much you will owe.

Important note: Because of recent changes in tax rules, your estimated tax payments may be lower than in previous years. Lower tax brackets, higher standard deduction, the loss of personal exemptions and the new 20% reduction in taxable income make estimating your taxes much more difficult. See my article, “Are You Withholding Too Much for Estimated Taxes?”

Lastly, check your records to see if you will owe any state income taxes. If so, make a state estimated tax payment by September 17th as well.

The deadline for the fourth quarter of estimated taxes is January 15, 2019.

Note: You can make monthly, instead of quarterly, estimated tax payments. Doing so might be easier to budget than paying a larger amount quarterly. It may also be easier to remember to pay monthly. To set up a monthly payment, use the electronic Estimated Federal Tax Payment System (EFTPS).

Online Classes from the ChildCare Education Institute

Increasingly, child care providers are taking online classes to enhance their professional development.

Online classes allow child care providers to log onto their computer and learn about a variety of topics whenever they want. Topics range from child development, health and safety, nutrition, parent communication, staff management, positive guidance, child abuse, and much more.

Online classes offer the advantages of flexibility: they can be taken any time of day or night and can be completed in one setting or over a number of days. They are also more accessible to child care providers who live in rural areas.

Some online classes meet state licensing training requirements. Other classes allow providers to obtain a Child Development Associate (CDA) credential. The majority of classes are geared towards those who work in child care centers.

There are few, if any online classes that cover the business side of family child care in any detail. I do offer monthly webinars on the business of family child care through the National Association for Family Child Care.

ChildCare Education Institute

A number of organizations* offer online classes for child care providers, and the most popular one is the ChildCare Education Institute.

They offer over 150 online classes, including ones to receive the CDA credential, meet Head Start standards, and meet many state licensing requirements. Many of their classes are also available in Spanish.

The cost is $15 per class hour or an annual subscription of $99 that allows providers to take as many classes as they want. You can also take a free trial course.

However, they offer very few classes specifically directed at family child care providers. Their classes on child development and the CACFP Food Program are relevant to both homes and centers. A class on marketing, although geared to child care center directors, offers some good advice for family child care providers.

I completed one of their classes recently: Family Child Care Basics. It’s a three hour class ($45). Here are a few comments.

• I found that the class would be most useful to people who are thinking about becoming a family child care provider or who have just started their business.
• The class covers a lot of ground: the roles and responsibilities of a provider, parent communication, health and safety practices, positive guidance, recommended practices for early literacy, science and math development, and more.
• Throughout the class, there are a number of useful quizzes that help reinforce how much you learned.
• There was little, if anything, about record keeping or taxes, and other than a few slides about setting fees and establishing a contract, there was nothing else about the business side of family child care.

Online classes can be an efficient way for family child care providers to increase their knowledge and improve the quality of care they offer.

Helping Children Express Their Feelings

Young children deal with many of the same emotions adults do. Children get angry, sad, frustrated, nervous, happy, or embarrassed, but they often do not have the words to talk about how they are feeling. Instead, they sometimes express these emotions with their actions, which may not always be appropriate.

Young children have a hard time identifying how they are feeling and how to appropriately express these feelings. Many times, young children will bite or hit out of frustration or have a hard time calming down after they have had an exciting day. This can be very frustrating for parents and caregivers, but these situations are all a learning opportunity for young children in how to identify and express their emotions and improve their emotional development.

Children get more frustrated when they are unable to make you understand what they are feeling, especially when they cannot properly communicate. The first step is to help your child identify their own emotions and why they are feeling that way.

For very young children who haven’t developed their verbal skills yet, families can introduce American Sign Language to them. Infants who learn sign language also are thought to gain psychological benefits, such as improved confidence and self-esteem. Feelings of anger due to an inability to communicate may not occur as often. Having the ability to sign could be a lifesaver when a child is too flustered to speak clearly. Early exposure to signing helps infants to develop their language and reasoning skills. While others are still crying to get what they want, signing babies are learning how to communicate with words and simple phrases.

For older children, starting at only 18 months, you can teach your child to verbalize his or her feelings and you can use the following strategies to help your child identify and express their feelings:

• Name the Feeling – Help children name their feelings by giving them labels. By naming feelings, you allow young children to develop an emotional vocabulary, so they can talk about their feelings.
• Identify Feelings in Themselves and Others – Talk about feelings they have and those that you see in others. Describe emotions they see around them with words, so they are able to identify them as well when experience them.
• Talk About How Feelings Can Be Expressed – Lead by example and show your child how to express their feelings. What do you do when you get mad? How do people know you are happy? Talk about ways that your child can express their emotions.
• Using Words or Illustrations – Explain the feeling to your child by using easy words they can understand. Using picture books is a great way to illustrate the feeling. Illustrations help children learn how to recognize other people’s emotions and facial expressions, an important component to identifying emotions in others and in oneself.
• Help Them Find a Solution – Teach your child different ways to deal with feelings. Allow them to come up with solutions and explain to them if those solutions are reasonable or not.
• Encourage with Praise – When you catch your child expressing themselves in an appropriate manner, reinforce this with lots of praise. When your child is praised they are more likely to repeat that action. This will encourage them and show them that it is okay to talk about feelings.
• Keep a Balance – Encourage children to not only express their own feelings but to also regard the feelings and needs of others. Try to address their issues constructively and give them time to explain their point of view and then close the subject. This will stop the situation from escalating.

Remember that it takes practice. Talk about feelings while playing games, eating dinner or even just riding in the car.
